Privacy Policy

CareAide is operated by NGN Simulation Labs Ltd. ("NGN Simulation", "we", "us") and is covered by the NGN Simulation Privacy Policy, which sets out your rights under Alberta's Personal Information Protection Act (PIPA) and Canada's PIPEDA. This page explains how those commitments apply to CareAide specifically.

1. Who controls your information

This depends on how you joined, and it decides who you make requests to:

• You signed up yourself (an independent learner) — NGN Simulation is the controller of your information and this policy governs.
• Your school or employer gave you access — that institution is the controller. We process your information on its instructions, and its privacy notice governs. Direct access and deletion requests to your institution first; we will help it respond.

2. What CareAide collects

• Account — name, email, password (stored only as a hash), institution.
• Study activity — answers, scores, exam and quiz attempts, flashcard reviews, readiness scores, study streaks.
• Written and spoken practice — your documentation practice, tutor messages, and voice-simulation transcripts.
• How you found us — the site or search that first sent you (for example a search engine or an AI assistant), the page you arrived on, and your answer to "How did you hear about us?" if you give one. Kept in your browser until you sign up, then stored with your account, and used only to understand which channels bring learners to CareAide.
• Sign-in security — IP address, browser, device and sign-in times, used to detect account sharing and to verify new devices.
• Career tools — if you use them: your résumé text (kept only to personalise your applications and mock interviews — you can delete it any time), your city and registration status, job searches, saved application drafts, and mock-interview transcripts and scores.
• Billing — subscription status and invoices. Card details go directly to Stripe; we never see or store them.

3. Voice simulations

Voice practice sends your speech to our AI provider so the simulated resident can respond. A text transcript is kept so you can review your session and so we can score it. Audio is not retained after the session. Please do not use real names or real patient details.

4. What your instructor can see

If an institution funds your access, its instructors and administrators can see your enrolment status, study progress, attempt history and readiness score, and sign-in records for their own students. Where the Career tools are enabled, they can also see your mock-interview scores on a class leaderboard and cohort analytics (you can opt out of the leaderboard in your career profile) — but never your résumé, cover-letter drafts, or which jobs you searched for. They cannot see your password, your card details, or anything about learners at other institutions.

5. Who else handles your information

• Google (Gemini) — generates questions, tutor replies and voice simulations.
• Government of Canada Job Bank — when you search for jobs, we query the public Job Bank board with your city and the words "health care aide" (never your name or account details).
• Stripe — payment processing; the only party that receives your card details.
• Resend — sends account email such as verification codes and password resets.
• Railway and Cloudflare — host the application, the database and the website.
• Google Analytics — counts visits to the website and which pages and features are used, so we can improve CareAide and see which of our articles help. See "Analytics" below.

Analytics. On careaideprep.com we use Google Analytics 4 to measure visits. It uses a cookie to tell one browser from another and records the pages viewed, the province and credential you chose, where you arrived from, and approximate location (city level). We never send it your name, email address, phone number or account details, we have switched off Google's advertising features and Google signals, and we do not build an advertising profile from it. Analytics data is kept for 14 months. It is not measured at all if your browser sends a Global Privacy Control or Do Not Track signal. You can also turn analytics off in this browser (or back on) at any time, and Google offers its own browser add-on to opt out.

Some of these process information outside Canada, including in the United States. See the group policy for the PIPA notice about service providers outside Canada. We do not sell your personal information, and your study content is not used to train third-party foundation models.

6. Keeping and deleting your information

We keep your account and study history while your account is active. Billing records are kept as long as tax law requires. Where your institution is the controller, retention follows its instructions. To request access, correction or deletion, email privacy@ngnsimulation.com — or your institution, if it gave you access.

7. Our Privacy Officer

8. Complaints

You can complain to the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada. We would rather hear from you first: privacy@ngnsimulation.com.
